The company sought to develop an internal knowledge management system to store and share intellectual property (IP) information, helping employees collaborate and access critical IP resources easily. The objective was to ensure that all IP knowledge is centralised, structured, and accessible for better IP management and compliance with organisational policies.

Panasonic was struggling to manage a massive library of intellectual property (IP) that was scattered across different departments. Because there was no single "source of truth," employees found it incredibly difficult to track down the right documents, training materials, or company policies when they needed them most. This lack of organisation didn't just slow people down; it created a disconnect where team members couldn't easily collaborate or share their expertise, leaving valuable knowledge locked away in silos.

Beyond the organisational issues, the company was bogged down by manual administrative work. Simple tasks like getting a document approved or sending out notifications required constant human intervention, leading to delays and potential errors. Panasonic recognised they needed to move away from these time-consuming, old-school processes and transition into a more automated way of working. They weren't just looking for a new tool; they needed a secure, user-friendly hub that would protect their sensitive data while making it easy for staff to stay compliant with strict internal policies. Essentially, they needed to bridge the gap between their complex IP requirements and the everyday needs of their global workforce.

To solve these challenges, we built a centralised, secure knowledge hub using SharePoint that acts as a single "source of truth" for all of Panasonic’s intellectual property. We designed the platform to be incredibly intuitive, ensuring that any employee, regardless of their technical expertise, can easily find training materials, policies, and resources. To make the system even more collaborative, we included a dedicated "co-creation" space where teams can work on documents together in real-time, no matter where they are located.

The real magic happens behind the scenes with Power Automate integration. We replaced slow, manual tasks with automated workflows that handle everything from document approvals to instant notifications. Now, when a file is updated or needs a manager's signature, the system automatically routes it to the right person and sends alerts via email or Microsoft Teams. By combining this automation with strict version control and encrypted security, we provided a professional, responsive platform that keeps data safe while making daily IP management faster and much more efficient.

The new platform has completely transformed how Panasonic manages its intellectual property by bringing everything into one central, easy-to-use hub. Employees no longer waste time searching for scattered files; instead, they have instant access to the documents and training materials they need, which has significantly boosted productivity across the company.

Beyond just organisation, the system has automated the "boring stuff"; tasks like document approvals and notifications now run on their own, cutting down on manual errors and freeing up staff for more important work. Collaboration is also much smoother, as teams can now work together on documents in real-time.
